An illustrative company called Roger That Communications is used to show how Meeting Structure can impact a business. In the Company Overview, you are introduced to Jason Taylor, the CEO. He has recently taken the position after the previous CEO and Founder, Roger Clement, decides to sell the company to a private equity firm. Previously, Jason served as the Chief Operations Officer, and has been with the company since its earliest stages.

While the company adjusts well overall to the transition, Jason notices some negative signs, including an inability to implement operational changes. While walking around the office to speak to people and try to better understand the problem, Jason hears a lot of complaints about poor communication and wasted time in meetings. He sits in on a few meetings and sees for himself that they are often unproductive and unfocused.

Using a book for guidance, Jason implements Meeting Structure within the company. First with his Leadership Team, and then with the help of the Management Team, they come up with a list of Meeting Types that clarify that purpose of the different meetings that are held; then they decide which meetings require the highest level of structure and which can be more ad hoc; and finally, they develop a Meeting Model for Check-In Meetings. They conclude by creating a schedule for when they will develop Meeting Models for the rest of the Defined meetings within the company.
